Next steps once your tax service application is approved
Wave is unable to pay or file on behalf of household employers. This is because Wave's payroll tax service submits tax payments against and files Forms 940 and 941, rather than Schedule H, Form 1040, which is the form the IRS requires household employers to deposit against and file. However, household employers can use Wave’s self-service payroll.
Authorize tax payments and filings
Before setting up payments and filings with Wave, you will need to complete the following payroll setup tasks: add your employee(s), enter your business details, tax profile, company signatory, funding account and complete the direct deposit authorization.
- On the left-side menu, click Payroll > Run Payroll.
- Click Payroll Setup.
- Under Simplify your payroll, to the right of Get automatic tax filings and payments, click Authorize.
- Complete the steps that follow to authorize Wave to pay and file your payroll taxes on your behalf.
Once submitted, your tax service application will be reviewed in 14 business days. You will hear from Wave at the email address you used to sign up for Wave.
Ensure Form W-4 information is updated on the employee's Tax Details page.
Next steps once your tax service application is approved
If you have due taxes for the quarter in which your tax service is approved for, Wave will schedule those for payment. Review your payroll history and due tax amounts before payments are made to ensure they're accurate.
To review your payroll history, on the left-side menu, click Settings, then under Payroll, click Payroll History Import.
To view your accumulating, due and paid payroll taxes, on the left-side menu, click Payroll > Taxes. To review scheduled and submitted tax payments, click Payroll > Payroll transactions.
If you already made tax payments that are showing due for the current quarter, you'll need to have them marked as self-paid. To do so, open Mave, Wave’s automated chatbot, and type mark payroll taxes as paid. Mave will help collect any relevant details and direct you to the appropriate support. You are responsible for ensuring funds are available when tax payments are due and for reviewing and signing tax forms when they become available in your Wave account.
