What details can I edit in each section?
Edit employee details
- On the left-side menu, select Payroll > Employees.
- Locate the employee you want to make changes for. If you do not see the employee under Active, check the On Leave and Dismissed tabs.
- Click the employee’s name, or click Edit.
- From the menu on the next page, select the section you want to edit.
What details can I edit in each section?
Personal Information
Here you can edit the employee’s:
- Name
- Home address - this is a factor in tax calculations, so make sure you enter it correctly.
- Date of birth
- Work location
- SSN (US) or SIN (Canada)
Click Save at the bottom of the page to save any changes.
If the employee has accepted an email invitation to view their payroll information through Wave, you can’t update their email address manually.
To update an employee’s email, open Mave, Wave’s automated chatbot, and type edit employee email. Mave will help collect any relevant details and direct you to the appropriate support. Learn how to open Mave in Get support with Wave.
Compensation
On this page you can manage your employee's current salary and view their salary history. You can also schedule salary changes to take effect on a future date. Learn How to update an employee's salary.
Vacation
On this page you can review and manage your employee's vacation policy, their vacation policy history, and available vacation balance. You can also schedule changes to happen on a future date. Learn how to Set a vacation policy for your employees.
This section is for managing an employee's vacation policy only. If you need to record vacation time taken, enter vacation hours in Timesheets.
Holiday - Canada
On this page, you can review and manage an employee's statutory holiday policy. You can also see upcoming policies and policy history. Learn about Statutory holiday pay requirements.
You can also learn how to opt out of and manually add holiday pay.
Sick Leave
You can start or edit a basic sick leave policy on this page by clicking the Opt In button. Once you opt-in, you can manage specifics such as the Balance cap by clicking the pencil icon next to the detail you want to edit.
Not all states (US) or provinces (Canada) have a mandatory sick leave requirement.
To opt out of a sick leave policy, click the Opt Out button in the Upcoming Policy section.

Tax Details - US
Details from your employee's Form W-4 can be edited here. Click the checkbox next to Federal income tax or Social Security & Medicare to change employees’ exemption status.
Click Save at the bottom of the page to save any changes.
Tax Details - Canada
Edit your employee's TD1 Form information here, and whether they are exempt from Employment Insurance premiums or Canada Pension Plan contributions.
Click Save at the bottom of the page to save any changes.
Benefits & Deductions
You can add employee benefits or deductions here. Learn How to assign a deduction, benefit, or bonus to an employee.
Employee Files
You can upload additional employee documents here, such as personal information forms, authorization for hiring, direct deposit agreement and benefits enrollment.
To upload a file, click Choose File, enter a description, then click the Upload button.
These files are not viewable by the employee. Only the employer is able to view these files.
Direct Deposit
Here you can select if you want to pay this employee with direct deposit or not. You can change this setting at any time.
To pay your employees by direct deposit, you need to authorize and set up direct deposit in Payroll Setup first. Learn how to apply for payroll direct deposit.
Bank Details
If you pay your employee by direct deposit, you can update their bank details here.
Click the Save button underneath their bank account details to save any changes.
Employment Status
See when your employee began working for you and change their employment status with your business. To change their employment status, click Place on Leave or Start Offboarding.

If your employee hasn’t worked any hours yet, you can delete their profile by clicking Delete.
