Your pay schedule determines how frequently your employees and contractors are paid. If you need to change your current pay schedule, the steps you should follow depend on whether you have approved payrolls on the current schedule.
United States
Once you have set your payroll pay schedule, you cannot change it in your Wave account. This applies to updating your payroll frequency and the default payday. To update your pay schedule, you must submit a request to our Support Team. Open Mave, Wave’s automated chatbot, and type human support update pay schedule.
Canada
I have not approved a payroll
If you have not yet approved a payroll, update your pay schedule:
- Log in at waveapps.com.
- On the left-side menu, click Payroll, then Payroll Dashboard or Run Payroll.
- At the top right, click Payroll Setup.
- In the Business section, next to Pay schedule, click Edit schedule.
- Make the required changes, then click Save & continue.
I have approved a payroll
If you have approved a payroll, you cannot change your pay schedule in your Wave account. There are two main reasons for this:
- Every time you change your pay schedule, the CRA requires an ROE to be issued for each active employee.
- There are tax implications for your business, employees, and Canada Pension Plan (CPP) contributions based on your pay schedule.
To update your pay schedule, you must first issue ROEs. To do this:
- Place employees on leave
- Issue an ROE for each employee. If Wave is issuing ROEs on your behalf, select the reason K12 Other / Change of payroll frequency.
Once you have issued ROEs, open Mave, Wave’s automated chatbot, and type human support update pay schedule.
