How do I get a copy of the ROE?

If you have issued an ROE through Wave, it will take 1-3 business days to be submitted to Service Canada. Once the submission is complete, you can download a copy for your records. To download a copy, see Download a copy of your employee’s ROE.

When do I have to issue an ROE?

Most commonly, an ROE is issued each time there's an interruption of earnings (leave of absence, dismissal, resignation), when Service Canada requests one, when the pay period frequency changes, or when the payroll account number changes. Why do I need to issue an ROE to my employees before switching to Wave?

Issuing an ROE before switching to Wave is a necessary step to protect your employees and keep your business compliant with Service Canada. Doing this closes out the pay history with your previous payroll provider. It also clearly tells Service Canada that your employee did not stop working. The only change was your company's payroll provider.

When generating the ROE, select Code K17—Change of Service Provider. Visit the CRA website for a complete list of reason codes.

Can I see the status of an issued ROE?

When you issue an ROE in Wave, it can take 1-3 business days to be filed with the CRA. To see the status of the ROE:

  1. On the left-side menu, click Payroll > Employees
  2. Select the employee who was issued the ROE.
  3. In the Employment Status section, locate the status bar next to Issue ROE in the Offboarding Task List.
    • If the status is Processing, this means the ROE is still pending filing.
    • If the status is Issued then the ROE has been filed.
