An ROE is a record of employment required by Service Canada when an employee is placed on leave, resigns, or is terminated for any reason.
Issue an ROE
When an employee is terminated or placed on leave, you must issue the ROE after approving the final payroll period the employee is included in.
To issue an ROE:
- On the left-side menu, click Payroll > Employees.
- Click the name of the employee.
- Click Employment Status.
- Click Issue ROE.
- If the ROE has been issued outside of Wave, select the checkbox next to I have issued this ROE manually at the top of the page, then click Submit.
- If the ROE is being issued through Wave, review the Personal Employee Information.
- Select a reason for the ROE from the dropdown menu.
- Enter your first name, last name, and phone number.
- Click Submit.
When issuing an ROE outside of Wave, visit the Service Canada website to complete the ROE form.
ROE reason codes
When issuing an ROE, select the applicable reason from the dropdown menu in step 5 above. Wave automatically enters the corresponding letter code. Visit the CRA website for a complete list of reason codes.
Amend an ROE
Wave can only amend an ROE that they issued. If the ROE was issued outside of Wave, you must contact Service Canada directly for changes.
Only payrolls approved in Wave are included in an ROE. Any payroll periods run before switching to Wave should already have been reported to Service Canada by your previous payroll service provider.
To amend an ROE, open Mave, Wave’s automated chatbot, and request a Support Agent. Mave will help collect any relevant details and direct you to the appropriate support. To reach them, see Get support with Wave.
