Send an invoice through Wave in your web browser

When you send an invoice through Wave, or send a share link, you'll be able to see when your customer has viewed the invoice. To find the last viewed date for an invoice, head to Sales & Payments > Invoices, click on an invoice to view it, and check under the Send section.

If the same invoice is viewed more than once, only the last viewed date is tracked.

  1. Log in to your Wave account at waveapps.com.
  2. Click Sales & Payments > Invoices on the left navigation menu.
  3. Click the Send button to the right of the invoice you want to send.
  4. In the pop-up that appears, you can do the following:
    1. To send the invoice from an alternate verified email address saved under your business profile, click on your email address in the From field and choose from the list. To add another email address to your business profile, follow these steps.
    2. You can edit the subject line, or the message that will appear on the body of the email your customer receives.

      You cannot save a customized message to appear by default when sending invoices. If you want to customize the message, edit it before you send the invoice.

    3. Click Add recipient to send the invoice to multiple contacts. If you already have multiple emails associated with your customer’s profile, select one of the emails from the drop-down menu. If not, enter a new email address into the additional field.

    4. Select the checkboxes at the bottom to send a copy of the invoice to yourself, or attach the invoice as a PDF.
    5. Click Preview as customer to view how the email would appear to your customer in a new tab.
    6. To send the invoice, click Send.

This sends your invoice through Wave, but any replies to the email will be sent to the email address the invoice was sent from. Sending invoices through Wave helps you track the sent history within the Activity tab of the customer’s profile.

If you are a Wave Payments or Wave Payroll user, you can send an unlimited number of invoices through Wave.

The Wave logo at the bottom of the invoice email cannot be removed. However, you can choose to export the invoice as PDF, and send it from your email if you don’t want it to appear.

Once an invoice has been sent, it cannot be undone.

Send an invoice through Outlook, Gmail, or Yahoo in your web browser

  1. Log in to your Wave account at waveapps.com.
  2. Click Sales & Payments > Invoices on the left navigation menu.
  3. Click the dropdown menu to the right of the invoice, and select Send by Gmail, Outlook, Yahoo.
  4. In the pop-up that appears, select your email provider from the three options to send the invoice.
  5. A new tab opens, allowing you to send the invoice by email.

The email you send will contain a link to the invoice. You can include other attachments in the email if you want to send any additional documents.

Export an invoice as a PDF in your web browser

  1. Log in to your Wave account at waveapps.com.
  2. Click Sales & Payments > Invoices on the left side menu.
  3. Click the dropdown menu to the right of the invoice, and select Export as PDF.
  4. Click Download only, or to also mark the invoice as sent, click Download, and mark it as sent.

The PDF file will save to your device, which you can then attach to an email before sending it to your customer.

Generate a link to an invoice in your web browser

  1. Log in to your Wave account at waveapps.com.
  2. Click Sales & Payments > Invoices on the left navigation menu.
  3. Select the invoice you want to send.
  4. Click the Get share link button.
  5. Click Copy link to copy a link to the invoice, which you can then send by email, text message, etc.

Once you’ve sent the invoice using any of these methods, you can mark it as sent. Navigate to Sales & Payments > Invoices, click on the invoice to open it, and select Mark as sent within the Send section.

If you edit the invoice after you share the link, the changes will still reflect when the customer views the invoice using the link.

Send an invoice with the Wave mobile app

  1. Log in to your account on the Wave mobile app.
  2. Open the Invoices tab.
  3. Select the invoice you want to send.
  4. Tap Send invoice.
  5. Select Send email via Wave. On this page you can:
    1. Add recipients. Select the To field, then select the checkbox next to the saved email address(es) of your contact(s).
      To add a new recipient email, type the email into the New recipient email field, and tap Add another recipient. This email won’t be saved to your contacts.
    2. Edit the Subject line and Message.
    3. Select the checkboxes under Options to send a copy to yourself or attach the invoice to the email as a PDF.
  6. Tap Send.

If you are a Wave Payments or Wave Payroll user, you can send an unlimited number of invoices through Wave.

Generate a PDF file or a link with the Wave mobile app

  1. Log in to your account on the Wave mobile app.
  2. Open the Invoices tab.
  3. Select the invoice you want to send.
  4. Tap Send invoice.
  5. Select Send PDF via… or Send link via…
  6. Select your chosen method of sending the PDF or link.

Once you have sent the invoice, you can mark it as sent. On the invoice, tap the 3 dots at the top right, then tap Mark as sent.

When you send an invoice through Wave, or send a share link, you'll be able to see when your customer has viewed the invoice. To find the last viewed date for an invoice, open the Invoices tab, select the invoice, and check in the Latest section.

If the same invoice is viewed more than once, only the last viewed date is tracked.
