In Wave, there are a few ways to send an invoice to your customer. Here’s everything you need to know.

Send the invoice through Wave

  1. Click Sales > Invoices on the left side menu.
  2. Click the Send button to the right of the invoice you want to send. Or, click on the invoice to open it, and click Send invoice.
  3. In the pop-up that appears, you can do the following:
    1. If you want to send the invoice from an alternate verified email address saved under your business profile, click on your email address in the From field and choose from the list. To add another email address to your business profile, follow these steps.
    2. You can edit the subject line, or the message that will appear on the body of the email your customer receives.

      You cannot save a customized message to appear by default when sending invoices. If you want to customize the message, edit it before you send.

    3. Click Add recipient to send the invoice to multiple contacts.
    4. Click on the checkboxes at the bottom if you want to send a copy of the invoice to yourself, or attach the invoice as a PDF.
    5. Click Preview as customer to view how the email would appear to your customer, in a new tab.
    6. To send the invoice, click Send.

This sends your invoice through Wave, but any replies to the email will be sent to the email address the invoice was sent from. Sending invoices through Wave helps you track the sent history within the Activity tab of the customer’s profile.

The Wave logo at the bottom of the invoice email cannot be removed. However, you can choose to export the invoice as PDF, and send it from your email if you don’t want it to appear.

Once an invoice has been sent, you cannot undo this.

Send the invoice through Outlook, Gmail, or Yahoo

  1. Click Sales > Invoices on the left side menu.
  2. Click the dropdown menu to the right of the invoice, and select Send by Gmail, Outlook, Yahoo.
  3. In the pop-up that appears, select from the three options to send the invoice-Gmail, Outlook, or Yahoo.
  4. A new tab opens, allowing you to send the invoice by email.

Once the email has been sent, navigate back to the tab with your invoice, and you will see an option to mark it as sent. You can also mark an invoice as sent anytime, by opening an invoice, and clicking mark as sent within the Send section of the invoice.

The email you send will contain a link to the invoice. You can include other attachments in the email if you want to send any additional documents.

Export the invoice as PDF, or get a share link to send through your email provider

To export as PDF:

  1. Click Sales > Invoices on the left side menu.
  2. Click the dropdown menu to the right of the invoice, and select Export as PDF.
  3. Click Download only, or to also mark the invoice as sent, click Download, and mark it as sent.

The PDF file will save to your device, which you can then attach to an email before sending it to your customer.

To get a share link to the invoice:

  1. Click Sales > Invoices on the left side menu.
  2. Click on the invoice to open it.
  3. Click the Get share link button at the top right, within the Send section.
  4. Click Copy link to copy a link to the invoice, which you can then send, by email, text message, etc.

Once you’ve sent the invoice using any of these methods, you can mark it as sent in Wave. Navigate to Sales > Invoices, click on the invoice to open it, and select mark as sent within the Send section.

If you edit the invoice after you share the link, the changes will still reflect when the customer views the invoice using the link.

When you send an invoice through Wave, or send the link to the invoice through your email, you'll be able to see when your customer has viewed the invoice. This insight can be useful when you're deciding when to follow up with your customer. If the same invoice is viewed more than once, only the last viewed date is tracked.

To see the last viewed date for an invoice, click on the invoice to view it, and check under the Send section. Or, navigate to Sales > Invoices, and hover your cursor on the invoice row (over the customer’s name, date, or invoice number). A pop-up appears where you can see the last viewed date.
