Send an invoice through Wave

Businesses that subscribe to Wave’s Pro Plan, accept online payments, or use payroll with direct deposit set up, can send invoices through Wave. Learn about Wave’s plans or how to set up online payments or payroll.

Send an invoice through Wave in your web browser

  1. Log in to your Wave account at waveapps.com.
  2. On the left-side menu, click Sales & Payments > Invoices.
  3. Click the Send button to the right of the invoice you want to send. Or, click on the invoice to open it, then click Send invoice.
  4. In the pop-up that appears, you can do the following:
    1. To send the invoice from an alternate verified email address saved under your business profile, click on your email address in the From field and choose from the list. To add another email address to your business profile, follow these steps.
    2. Edit the subject line or the message that will appear on the body of the email your customer receives.

      With a Pro Plan subscription, you can customize the default message your customers see in their email when you send invoices through Wave. Learn how to customize your email message templates.

    3. To send the invoice to multiple contacts, click Add recipient. If you already have multiple emails associated with your customer’s profile, select one of the emails from the drop-down menu. If not, enter a new email address into the additional field.

    4. Select the checkboxes at the bottom to send a copy of the invoice to yourself, or attach the invoice as a PDF.
    5. Select the checkbox next to Show attachment files in the email to add any attachments to the email. The files must be under 5MB. Learn more in Frequently asked questions about invoice and estimate attachments.
    6. Preview how the email would appear to your customer on the right side of the Send pop-up box.

      To remove the Wave footer, turn this setting off in your default invoices and estimates settings. This feature is only available to Pro Plan subscribers.

    7. To send the invoice, click Send.

This sends your invoice through Wave, but any replies to the email will be sent to the email address the invoice was sent from. Sending invoices through Wave helps you track the sent history within the Activity tab of the customer’s profile or on the invoice itself.

You can also see when your customer has viewed an invoice. If the same invoice is viewed more than once, only the last viewed date is tracked. To find the last viewed date, open the invoice and check under the Send section.

Send an invoice through Wave in the Wave mobile app

  1. Log in to your account on the Wave mobile app.
  2. Tap Sales on the bottom menu, then tap Invoices in the submenu.
  3. Select the invoice you want to send.
  4. Tap Send invoice.
  5. Select Send email via Wave. On this page you can:
    1. Add recipients. Select the To field, then select the checkbox next to the saved email address(es) of your contact(s).
      To add a new recipient email, type the email into the New recipient email field, and tap Add another recipient. This email won’t be saved to your contacts.
    2. Edit the Subject line and Message.

      With a Pro Plan subscription, you can customize the default message your customers see in their email when you send invoices through Wave. This feature is only available in the web browser version of Wave. Learn how to customize your email message templates.

    3. Select the checkboxes under Options to send a copy to yourself or attach the invoice to the email as a PDF.

  6. Tap Send.

When you send an invoice through Wave, you can see when your customer has viewed the invoice. To find the last viewed date for an invoice, open the invoice check in the Latest section. If the same invoice is viewed more than once, only the last viewed date is tracked.
